How to Fix Common Email Errors

Nothing stalls a workday faster than email problems. Whether it’s an “authentication failed” message, a full mailbox, or a stubborn error code, these issues can feel overwhelming — especially when you rely on email to reach customers. At MaineBizPros, we see these problems all the time, and the good news is: most are simple to fix.

1. “Authentication Failed” or “Invalid Password”

Cause: Wrong password, or the email program is trying to connect without the right security settings.
Fix:

  • Double-check your password (try logging in through webmail to confirm).

  • In your email program, make sure SSL/TLS is turned on.

  • Confirm your incoming/outgoing server names match the settings provided.

2. “Mailbox Full”

Cause: Your mailbox has hit its storage limit.
Fix:

  • Delete old or large emails (especially attachments).

  • Empty your “Sent” and “Trash” folders.

  • If you need more space, contact us to expand your mailbox quota or help you archive older mail.

3. Emails Won’t Send (Stuck in Outbox)

Cause: Outgoing server (SMTP) not set correctly, or authentication missing.
Fix:

  • In account settings, check “Outgoing server requires authentication.”

  • Confirm port number is 465 or 587 with SSL enabled.

  • Restart your email app and try again.

4. Emails Not Syncing Across Devices

Cause: Account is set up with POP instead of IMAP.
Fix:

  • Switch to IMAP so changes (read, delete, move) stay in sync across all devices.

  • If unsure, we can help migrate your old POP account safely to IMAP.

5. Receiving Mail but Can’t Send (or Vice Versa)

Cause: Partial server settings entered, or ISP blocking certain ports.
Fix:

  • Re-check both incoming and outgoing settings.

  • If sending fails only on Wi-Fi, try switching networks or call us to check port restrictions.
